Scan to Computer Not Working

Scan to Computer is the option on the printer's control panel that sends a scan straight to a PC or Mac. When it fails, the printer says no computer was found, your computer's name is missing, or the scan finishes but no file arrives. Unlike scanning from an app on the computer, this direction relies on the computer listening for the printer, so sleep, background software and firewalls matter more than usual. This guide checks those pieces in order.

What you might be seeing

  • The printer says no computer is connected or found
  • Your computer's name is missing from the destination list
  • The scan runs on the printer but no file appears
  • It worked until a restart, update or new router

Common causes

Computer asleep or signed out
The receiving software runs in your signed-in session, so the computer must be awake and signed in to accept a scan.
Scan helper not running
A small background program from the manufacturer registers the computer with the printer. If it doesn't start, the computer's name disappears.
Incoming traffic blocked
The scan arrives as incoming network traffic, which a firewall or a Public network profile may refuse.
Stale registration or missing scan event
After an address change the printer may send to the old address, and printers using Windows' built-in WSD scanning need an action set in Windows.

How to fix it, step by step

Work through these in order and test a print after each one. Most people are done within the first few steps.

  1. Keep the computer awake and signed in

Make sure the computer is on, awake and signed in, then try again. If it sleeps quickly, lengthen the sleep timer while you test: in Windows 11 open Settings › System › Power & battery, or in Windows 10 Settings › System › Power & sleep. Plug a laptop into power, since some power plans limit network activity on battery. On a Mac, sign in rather than leaving it at the login window.

  2. Turn the scan helper back on

Open the manufacturer's app and look for a setting named something like scan to computer, scan to PC or manage scan destinations, and make sure it's enabled. Then open Settings › Apps › Startup in Windows and switch on any entry belonging to the printer software. Restart the computer, wait a minute, and check whether its name appears on the printer's scan screen. The helper often shows as a small icon near the clock.

  3. Allow the printer software through the firewall

Open Windows Security › Firewall & network protection › Allow an app through firewall, click Change settings, and make sure the printer software's entries are checked for Private networks. Confirm your connection's network profile is Private under Settings › Network & internet, because Windows blocks more incoming connections on Public networks. With a third-party security suite, add an exception there instead of disabling its firewall.

  4. Re-register the computer with the printer

If your computer's name appears but scans never arrive, the printer may be sending to an outdated address. In the manufacturer's app, switch scan to computer off, wait a few seconds and switch it back on, or remove and re-add this computer as a destination. Restart the printer afterward to clear its old list, and reserve fixed addresses for the printer and computer in your router.

  5. Assign a Windows scan event

Some printers push scans to Windows itself rather than to the manufacturer's software. In Windows 11 open Settings › Bluetooth & devices › Devices and select More devices and printers settings; in Windows 10 open Control Panel › Devices and Printers. Right-click the printer, choose Scan properties, open the Events tab, select the scan event, choose Start this program and pick Windows Fax and Scan. Click OK and try the printer's button again.

  6. Test scanning from the computer side

To separate a scanner fault from a push problem, start a scan on the computer instead: open Windows Scan or Windows Fax and Scan and choose New Scan, or use Image Capture on a Mac. If that works, the scanner and drivers are fine and only the push setup needs attention. Scanning from the computer is also a dependable workaround in the meantime.

  7. Reinstall the complete software package

If the computer still never appears, uninstall the printer software from Settings › Apps › Installed apps, restart, and download the current full software package from the manufacturer's official website. Pick the full installation rather than a driver-only option, since the scan-to-computer helper is often left out of minimal installs. Run setup with the printer on and connected, and let it add the scan destination at the end.

How to keep it from happening again

  • Reserve fixed IP addresses for the printer and the computer
  • Let the printer software's helper start automatically
  • Keep the network profile set to Private
  • Set a sleep timer long enough to cover your scanning sessions

Common questions

Why does my computer vanish from the printer's list every morning?

The list only includes computers that are awake and running the scan helper. Overnight the computer sleeps, or the helper fails to start after an update, so the printer drops it. Make sure the helper starts automatically, wake the computer before scanning, and reserve the computer's IP address in the router so the printer can find it again.

Can several computers receive scans from one printer?

Usually, yes. Each computer runs the helper and registers its own name, and you pick the destination on the printer's screen. Many printers limit how many computers can register, so remove old ones in the manufacturer's app or the printer's built-in web page if new ones don't appear.

Does Scan to Computer work with a Mac?

Often, through the manufacturer's Mac app, which registers the Mac much as on Windows. Without it, scan from the Mac itself using Image Capture, which relies on macOS's built-in driverless scanning and is usually the more dependable choice for occasional scans.

Still not fixed?

If the computer never appears and scanning from the computer also fails, the problem is the scan driver or connection rather than the button. If computer-side scanning works, consider scanning to a network folder or to email from the printer instead, since neither depends on helper software. The manufacturer's official support pages may also list known issues with your operating system version.
